Creating Your First Scouting Report

Ready to create your first scouting report? This guide walks you through the process step-by-step.

Before You Start

Make sure you have:

  • ✅ Created an account and logged in
  • ✅ Set up at least one field (or ask your organization admin to add one)
  • ✅ Mobile or web app installed/opened

Step 1: Open the Scouting Report Form

On Mobile:

  1. Tap the Scouting or Reports tab (depends on your mobile version)
  2. Tap the "+" or "New Report" button
  3. Select the field you want to scout

On Web:

  1. Click "Scout" or "New Report" in the sidebar
  2. Choose your field from the dropdown

Step 2: Add Field Information

You may be prompted to select:

  • Grower - Who owns the field
  • Farm - Which farm the field is on
  • Field - Which specific field you're scouting
  • Date - The date of your scouting (defaults to today)

Step 3: Mark Observation Locations

Use the interactive map to mark where you found observations:

  1. Tap or click on the map to place observation points
  2. The map shows your current field boundary (if uploaded)
  3. You can drag to reposition pins or delete unwanted ones
  4. Each pin represents a specific observation location

Step 4: Record Observations

For each location, you can record:

Observation Types:

  • Weeds - Species, count, description
  • Insects - Type, count, damage level
  • Diseases - Type, affected area, severity
  • General - Crop health, water, soil, or other notes

Data Entry:

  1. Select the observation type from the dropdown
  2. Enter details (species name, count, severity, etc.)
  3. Add photos (recommended for documentation)
  4. Add notes or comments
  5. Tap "Add Observation" to save it

Step 5: Review & Submit

Before submitting your report:

  1. Review all entries - Make sure everything is accurate
  2. Check locations - Verify pins are in the right places
  3. Add photos - Include clear images of key observations
  4. Final notes - Add any summary comments or recommendations

Submit Your Report:

  • Save as Draft - Keep editing later
  • Submit for Review - Send to your organization for approval
  • Mark Complete - Finalize the report (if you have permission)

After Submission

Your report will be:

  • Stored in the system with a timestamp and location data
  • Accessible in Reports - View it anytime from the Reports section
  • Included in Analytics - Used in charts and summaries for your field
